FINANCIAL REPORTS

The Club Treasurer produces, on a monthly basis two sets of accounts:


Club Accounts: This is a profit and loss account of all transactions related specifically to the day-to-day running of the club. All members' subscriptions, various expenses etc are recorded in this set of accounts. No funds raised from the public are held in this account, only monies received from members (fees, dinner payments, winners circle contributions etc) enter this account.
Project Account: This P & L account is the "trust account" of any club. All funds raised by the club are recorded in this account. All projects are paid from funds collected. Clubs are not allowed to use their project funds for any club expenses whatsoever.

 

ATTENDANCE
Rotary worldwide exists because of its membership. The only way to enjoy Rotary is to attend weekly meetings regularly. There are a few rules regarding Rotary attendance, which must be observed by all members.

1) % Attendance
All Rotarians need to attend a minimum of 50% of Rotary meetings in any 6 month period. Rotarians can attend at any Rotary club anywhere in the world. This figure is very important as any figure below 50% can disqualify your membership.

2) Makeup's
When a Rotarian attends a meeting at any other club, this is referred to as a "makeup". Rotarians attending any Rotary functions or hands on projects may claim their attendance at these functions as a "makeup". Rotarians attending committee meetings or board meetings may claim these as "makeups". However the exception is fellowship functions these cannot be claimed as "makeup's" If any Rotarian is unsure about attendance please refer to the Club President for guidance.

3.) Makeup's at other clubs
If a Rotarian misses a regular club meeting he/she is entitled to makeup at another club or function within 14(fourteen) days of the meeting missed. (Fourteen days before or after the date).

4.) Attendance Report
Any Rotarian can monitor his/her attendance on a monthly basis. This list is usually e-mailed to all members and a master list is displayed at the attendance table. All members must check this list and advise the attendance officer of any discrepancies so that your attendance record can be amended.

5.) Leave of absence
Members who are going away on business or holiday must apply for leave of absence. An e-mail or letter to the Club President will suffice. Members have to advise the attendance officer of their absence. If you do not advise, you will be liable for the cost of your meals. Leave of absence does not remove the attendance/make up obligation.

6.) Duties
The following duties are the responsibility of all members. A detailed list is produced each week in the Sandtarian for those on duty. Duties are - Attendance officers, Duty officers, Speakers host, Thank the speaker, Sergeant, Club host.

7.) MOST IMPORTANT: IF YOU DO NOT ATTEND REGULAR CLUB MEETINGS YOU ARE MISSING OUT ON THE BEST FELLOWSHIP EVER, SO ARRANGE YOUR LIFE AND BE AT YOUR CLUB MEETINGS.

 

Financial Costs to Rotarians: 

 Once off joining fee

 R   950.00 (from 1st July 2008)

Annual membership fees

 R   950.00  (Pro-rata from date of joining)

Weekly:  50 meetings @ R75.00 / meeting including dinner, plush cash bar

 R 3750.00

 

 

COMMUNICATIONS: 

Each month the clubs communicates via the following methods:
THE SANDTARIAN A weekly bulletin distributed by email and hardcopy giving details regarding the duty roster and club news.
WEBSITE The district website, worth visiting for all Rotarians.

ROTARY AFRICA A monthly magazine posted to all Rotarians. There is a cost for this magazine.
THE ROTARIAN A magazine published by Rotary International and distributed to all Rotarians on request.
E-MAIL Most of the clubs communications is by email daily sometimes hourly.

CLUB DIRECTORY A club directory is sent via e-mail monthly.

DISTRICT CLUB DIRECTORY of all clubs and when/where they meet is distributed annually.

 

DINNERS, CONFERENCES AND CONVENTIONS:

INDUCTION DINNER - PRESIDENT
All officers of Rotary hold office for one year only. At the end of the Rotary year (July) an induction dinner is held for the new club president.

INDUCTION DINNER - DISTRICT GOVERNOR
The handover ceremony of the new District Governor, to which all Rotarians are invited to attend, is held annually.

DISTRICT CONFERENCE
This annual event is held at a conference venue usually away from Johannesburg during a weekend in April. All 51 clubs in the district are represented. This is a wonderful opportunity to see ROTARY in ACTION and is highly recommended.

ROTARY INTERNATIONAL CONVENTION
This is held annually to which all Rotarians worldwide are invited to attend.

Future RI Conventions
2009 - Birmingham, England 21-24 June. 2010 - Montreal, Canada 20-23 June.
